Managed Postmaster Services
An expert postmaster function, outsourced. InboxGenius watches your email environment, investigates when delivery degrades, escalates to relevant postmaster teams where appropriate, and works the problem until your flows are landing again.
What a managed postmaster service is
Large senders used to employ a postmaster: the person responsible for how the organization's mail behaves on the network, and the person other providers dealt with when it misbehaved. Most enterprises no longer have that role — but the work still exists, and it lands on engineering, marketing operations or nobody at all.
InboxGenius takes it on. We hold the deliverability picture across your whole environment, keep it under observation, and represent your sending to the ecosystems that decide what happens to it.
What we monitor and manage
Scope is agreed with you at the start of the engagement and adjusted as your infrastructure changes.
Domain and IP reputation as receiving networks see it, plus the complaint, bounce and engagement behavior that moves it.
Authentication posture across every sending source, including the ones nobody remembered to tell you about.
Where networks are slowing you down, whether your queues are absorbing it, and what your sending patterns are doing to invite it.
Provider and network-level rejections read in detail — response codes, affected flows, and the remediation each one actually calls for.
How placement differs by flow, audience and receiving ecosystem — and which changes to sending are moving it.
Domain strategy, subdomain separation, IP pools and platform mix, so one noisy flow can't take a critical one down with it.
When something breaks, we act on your behalf
Escalation is only useful if it is prepared, evidenced and routed to someone who can act. That is the work most in-house teams cannot do at speed — and the reason the retainer exists.
Investigate
Confirm what is actually happening: which flows, which domains and IPs, which receiving networks, since when, and against what change.
Identify causes
Separate the likely causes from the coincidences — reputation movement, authentication faults, list and consent problems, content and infrastructure changes, volume behavior.
Engage stakeholders
Work with the people who can change the outcome: your engineering and marketing teams, your ESP or platform vendors, and — where appropriate — remote postmaster teams at the receiving networks.
Advocate
Present your case properly: what changed, what has been fixed, and why the sending should be treated differently. Our consultants have direct access to, or established working relationships with, major postmaster teams and email ecosystem stakeholders, including Google, Microsoft, Yahoo and other networks worldwide.
Remediate and hold
Drive the remediation through, then keep the flow under observation until behavior is stable — and adjust sending practice so the same failure does not return.
InboxGenius does not claim guaranteed inbox placement, guaranteed delivery, or guaranteed access to every provider's internal teams. Escalation routes and outcomes vary by network and by case.
Email flows covered
InboxGenius works on a monthly retainer basis. We do not provide hourly consulting.
A retained expert already understands your environment when something goes wrong. That context is the difference between a fast, evidenced escalation and a week of discovery — so the relationship is ongoing and strategic, not billed by the hour.
Put a postmaster behind your email.
Tell us what you send, where it goes and what is going wrong. We will tell you what the engagement would look like.
